clients lack transparency into delivery practices.
In long-term or regulated projects, this uncertainty becomes a real operational and business risk.
From our perspective, AI governance is not a legal safeguard added at the end of a project. It is part of the delivery model itself. If AI is present in daily work, governance must be present as well.

Ownership does not shift to tools or vendors
Regardless of which AI tools are used, Polcode teams remain fully responsible for delivered outcomes. There is no transfer of accountability to models, platforms, or third-party providers.
This principle is fundamental to maintaining trust and long-term delivery quality.
Data protection is treated as an operational standard
Sensitive client data is never entered into public or uncontrolled AI systems. Where AI support is used, data is anonymized or sanitized according to clearly defined rules.
Data protection is handled as a day-to-day operational requirement, not as an abstract guideline.
Tooling is business-grade and continuously reviewed
AI tools are selected deliberately and reviewed from security, legal, compliance, and operational perspectives. Only business-grade, vetted solutions are used.

Clients retain full transparency and control
Clients are informed about how AI is used in delivery and explicitly approve its usage. They always retain the right to opt out. Transparency is the default, not a special case.

We decided to publish our AI Usage & Safety Policy externally because AI governance should not be hidden behind NDAs.
Clients increasingly ask not only whether AI is used, but:
where it is used,
how their data is protected,
who is responsible for outcomes.
Making the policy public removes ambiguity and sets clear expectations. It also reflects how AI is already used in our daily delivery work.

There is a common belief that rules slow teams down. Our experience shows the opposite.

limits rework,
supports repeatability,
enables scaling across teams.
